How a little planning and a good CRM system can help you to confidently enable your team to work from home.
A month ago, it was business as usual but, over the last few weeks we have slowly watched the globe come to a standstill and it doesn’t look like it is going to be “back to normal” anytime soon.
As much as we all need to keep positive in this time and keep running our businesses, we also need to be proactive and put things in place to enable ourselves and our colleagues, to continue being productive and keep a track of how things are impacting our businesses.
Are you prepared for remote working?
If not, don't worry not every business is set up to work remotely... but don’t worry there is still plenty of time to prepare, even if you are already working remotely.
Where to start
First of all, you need to contact your staff, prospects, clients and network to let them know if you are still planning to work, and if so, how are you best contactable? Will you be available as normal? Remember this may change as the situation changes so keep people informed as your situation changes. Use multiple channels to do this, email, calls, social media, video calls all have their place in creating a communication strategy and keeping your colleagues in the know.
Next you need to think about how you can continue to work, if you are office based then do you have IT policies in place around what equipment you can use? Are you able to access any networks from outside of the office? Do you need to set up remote access to your office PC? There are many questions, if you haven’t yet asked them now is the time.
If you already work remotely or perhaps you are a trade person then it will be different and although it may currently be “carry on as normal” you may find that as the situation progresses this may not be the case, prepare a communication strategy in advance to keep in touch with clients and prospects where you can.
Keeping people well informed that your business is still operating and what you can do will mean people can contact you and continue to work with you.
Now, do you have an overview of your team's daily activity?
How can you confidently ask people to work from home if you don't know what actions are been completed and what is planned next... Maximizer CRM can help you keep control of your business, get an overview of the day to day running and most importantly allow you to continue to respond to clients quickly and effectively. The key to ensuring that your business continues to run, with minimal stress to you is to put as much information as possible in one easily accessible place, where you can access the information you need quickly and follow up when you need to.
Cashflow and Pipeline
Keeping an eye on your cash flow right now is so, so, so important. Knowing your incomings and outgoings is vital to help you plan and keep running. We may be tempted to stop spending and although in some cases that may be needed, for most of us we need to continue as “normal” if we change our buying habits without need it will have a knock-on effect the economy will begin to suffer.
Equally as important is knowing your sales pipeline, this means we know when we can spend and when we need to save. By using CRM (Customer Relationship Management System) to hold all of your sales data you can not only share this information with colleagues to work in partnership to close deals (or equally set security around who can see what). You can also set sales processes, track projected close dates, next actions, add indicators so you can see the whole pipeline in real time, save documents and emails against opportunities and so much more.
Take meetings online
There are so many amazing pieces of free online video software available these days that there are no excuses not to still conduct meetings with your team or equally customers and prospects alike.
Things like Skype, Zoom, Facebook Messenger, WhatsApp and the good old telephone all work well.
Here at Unimax Solutions, we want to help as many businesses as possible to feel confident that they can keep a track of business through effective Customer Relationship Management.
